Following the difficult decision to cancel in-person AORN Global Surgical Conference & Expo 2021, AORN has received many kind letters of support and we are very grateful to those of you who have taken the time to write.

We have also received many questions, which we have collected and answered below.

Statement from AORN

  • What does the cancellation of the in-person conference mean for my exhibit booth?
    • Your exhibit booth funds will roll over to AORN Global Surgical Conference & Expo 2022, in New Orleans, March 19-23 without a price increase.

    • Though we cannot meet in person this year, the virtual booth included in your 2021 exhibitor package is still yours at no cost! The deadline to upload content to your virtual booth has been extended to 8/4 at 5pm ET. You may add additional content and update content after 8/4, but we ask that you load a minimum of your basic information. Empty virtual booths as of 8/4 at 5pm ET will be removed so that attendees do not experience empty booths.
  • Can we participate in Virtual AORN Expo?
    • Yes, all exhibiting companies still have their Virtual AORN Expo booth. The deadline to upload content to your virtual booth has been extended from 7/30 to 8/4 at 5pm ET. You may add additional content and update content after 8/4, but we ask that you load a minimum of your basic information before this date. Empty virtual booths as of 8/4 at 5pm ET will be removed so that attendees do not experience empty booths.
  • Will it cost us anything to participate in Virtual AORN Expo?
    • No, your experience and booth presence at Virtual AORN Expo is without charge for current exhibitors.
  • When do we need to have our virtual booth built?
    • The deadline for building the virtual booth has been extended to 8/4. We strongly encourage our exhibitors to have their booths built by 8/4 to give attended the best experience as they navigate the virtual booths.

    • Empty booths as of 8/4 at 5:00pm ET will be removed from the virtual conference so attendees to not experience empty booths. You may continue to update your booth information throughout the duration of Virtual AORN Expo.
  • How do we set up our virtual booth?
  • What days will Virtual AORN Expo take place in a live capacity?
    • Virtual AORN Expo will kick off LIVE on Saturday, August 7 with live presentations and opportunities for live attendee engagement lasting through Monday, August 9. The entire virtual event will continue on-demand 24/7 for 45 days, ending September 24.

    • AORN moderators will direct attendees to the virtual exhibit booths at the times listed below. AORN strongly suggests that exhibitors staff their virtual booths at these times to facilitate conversation and engagement as attendees visit the virtual booths.

    • 11:00 – 11:30am ET (Immediately after the Virtual Chapter Officer Summit)
    • 1:30 – 2:30pm ET
    Sunday, August 8:
    • 1:00 – 1:30pm ET

    Monday, August 9:
    • 2:30 – 3:30pm ET
  • What days will Virtual AORN Expo take place in an on-demand capacity?
    • Virtual AORN Expo doesn’t stop on August 9! For 45 days, attendees will be able to access on-demand education sessions and will continue to explore the exhibit hall, earn CH from in-booth education, view posters, and more.

    • Exhibitors do not need to staff their virtual booth continuously after August 9. However, we recommend staying in tune with your booth traffic, checking for chat messages from attendees, etc., as attendees will continue to visit the exhibit hall.
  • Do I need to have staff available at certain times during Virtual AORN Expo?
    • While it is not required, we do strongly recommend that exhibitors have a staff person available at the virtual booth during the live Exhibit Hall hours to greet and help answer questions of booth visitors.

  • What can I expect at Virtual AORN Expo?
    • The digital platform for Virtual Expo has been enhanced since our 2020 Virtual Expo and we are excited about the advanced functionality it offers to attendees and exhibitors!

    • We are working to expand our pre-planned Virtual Expo to include many of the sessions that were planned exclusively for the in-person conference. More details are coming soon.

    • Our enhanced virtual platform offers real-time reporting, 1:1 messaging with attendees, the ability for attendees to request a meeting with your team, alerts when you get a booth visitor, and more. Review the key features of your virtual booth.
  • Will Reverse Trade Show happen virtually?
    • The Reverse Trade Show will not happen virtually. Exhibitors who planned to participate in the Reverse Trade Show in Orlando automatically have their spot reserved and funds transferred to the Reverse Trade Show at AORN Expo 2022. Please contact [email protected] with questions.
  • What will happen to my in-booth education offering(s)?
    • Exhibitors who were offering in-booth education at the in-person conference have the opportunity to offer a virtual education program. Please reach out to [email protected] for more information.

  • My company had a market research focus group planned for Expo. Now what?
    • Companies with planned focus groups in Orlando will have the opportunity to transition to a virtual focus group or roll over their funds for an in-person focus group at Expo 2022.
  • Will hotel reservations be canceled?
    If you booked a room in AORN's block through our housing partner, MCI | USA, your reservation has been canceled with no charge to you. If you did not book through our housing partner, you should contact the hotel directly.
  • What about the shipping expenses and costs I have incurred for the cancelation of Expo in Orlando?

  • When will I be contacted with details regarding my roll over booth to Expo 2022 and the booth selection process?
    • Spargo will be contacting exhibitors on August 3 with further information and next steps.
